Property Owner Check ("we", "us", "our") operates the website propertyownercheck.com ("Website"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. By using the Service, you consent to the data practices described in this policy.

When you create an account or use the Service, we collect:

  • Account information — email address, password (stored as a secure hash), and company name.
  • Payment information — processed directly by Stripe. We do not store credit card numbers. We receive a transaction reference and billing email from Stripe.
  • Search queries — the property addresses you look up through the Service.
  • Uploaded files — CSV files you upload for bulk processing.

Information collected automatically

  • Usage data — pages visited, features used, timestamps, and referral sources (collected via privacy-focused analytics).
  • Session data — authentication tokens stored in cookies (see our Cookie Policy).
  • Server logs — IP address, browser type, request timestamps, and HTTP status codes. Logs are retained for 30 days for security and debugging purposes.

We use the information we collect to:

3. Data Sharing

We do not sell your personal information. We share data only with:

  • Stripe — for payment processing. Stripe acts as an independent data controller. See Stripe's Privacy Policy.
  • Data providers — we send property addresses (not your personal information) to third-party data providers to fulfill lookup requests.
  • Hosting providers — our infrastructure is hosted on DigitalOcean. See DigitalOcean's Privacy Policy.
  • Law enforcement — if required by law, subpoena, or court order.

4. Data Retention

  • Account data — retained while your account is active and for 30 days after deletion request.
  • Search history — retained for 12 months, then automatically deleted.
  • Uploaded files — bulk upload CSV files are deleted within 7 days after job completion.
  • Server logs — retained for 30 days.
  • Payment records — retained for 7 years for tax and accounting compliance.

5. Data Security

We implement reasonable technical and organizational measures to protect your data, including:

  • Passwords are hashed using industry-standard algorithms (never stored in plain text).
  • All traffic is encrypted via HTTPS/TLS.
  • Database backups are encrypted and stored securely.
  • CSRF protection on all form submissions.
  • Rate limiting to prevent abuse.

No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

6. Your Rights

Depending on your jurisdiction, you may have the following rights:
